How to Use Smart Schedule for Online Interviews

The Smart Schedule feature in Hirex streamlines online interview scheduling by allowing candidates to select their preferred time from available slots. This eliminates the hassle of manually coordinating schedules.

Step 1: Connect Your Calendar with Hirex

  1. Go to Settings > Calendar & Meetings in Hirex.

  2. Select your calendar provider (e.g., Google Calendar, Microsoft Outlook).

  3. Authorize Hirex to access your calendar and sync your availability.

Step 2: Set Up the Interview Details

  1. Navigate to the Candidate Details in the relevant job posting.

  2. Click Schedule Interview and choose the Smart Schedule option.

  3. Fill in the following fields:

    • Interview Title: Provide a clear and descriptive title for the interview.

    • Interview Duration: Specify the length of the interview (e.g., 30 minutes, 1 hour).

    • Interviewers: Select the team members participating in the interview.

Step 3: Preview the Interview Email

  1. Once the details are filled, click Preview Interview Mail:

    • Hirex will automatically generate the Smart Schedule link based on the interview details and participants’ synced calendars.

    • This link allows candidates to view and select an available time slot.

  2. Customize the Email:

    • Edit the auto-generated email directly or compose a new one from scratch.

    • Alternatively, use a pre-saved email template by selecting one from the Mail Template option.

Step 4: Send the Interview Invitation

  1. Once you’ve finalized the email content, click Send.

  2. The candidate will receive an email with the calendar link.

  3. Upon selecting a time slot, all participants will receive a confirmation email, and the event will be automatically added to their calendars.

Once the invitation is sent, the candidate will receive an email with the calendar link.

In this link, the candidate can view available slots on the participants' calendars and pick one for the online interview.

After the candidate picked the slot, a confirmation info will show up as well as an calendar invitation email will be sent automatically.


Tips for a Smooth Process

  • Use Templates Effectively: Choose pre-written templates directly on the Preview Interview Mail page to save time.

  • Ensure Team Calendar Sync: Encourage interviewers to keep their calendars updated to avoid scheduling conflicts.

  • Test the Process: Preview the email and link to ensure accuracy before sending.
