Employee Onboarding Experience

Here's what your new hires see and do when they log in to their onboarding portal.

Accessing the Onboarding Portal

Employees access their onboarding through the Hirex employee portal. As soon as HR starts their onboarding, the employee receives a welcome email with a link to log in and get started.

Employees only see resources assigned to them not tasks assigned to HR or their manager.

The Portal Homepage

When an employee logs in, the portal greets them by name with a time-appropriate message (Good Morning, Good Afternoon, Good Evening, or Good Night) and shows the current date.

Below the greeting, two summary pills show:

  • Tasks due today number of tasks with a deadline today

  • Forms due today number of forms to be submitted today

The main area is organized into widgets sections that display different types of onboarding content (tasks, documents, forms, etc.). Each widget loads relevant content for the employee.

Completing a Task

  • Find the task in your task list widget.

  • Click on the task to open its details.

  • Read the description and any instructions.

  • Complete any subtasks by checking them off.

  • Click Mark as Complete when done.

Tasks linked to a Form or Document are completed automatically once you submit the form or upload the document.

Filling Out a Form

When a task is linked to a form, a Fill Out Form button appears inside the task.

  • Click Fill Out Form.

  • Complete all required fields.

  • Click Submit.

The task is automatically marked complete once the form is submitted. HR receives a notification.

Uploading or Acknowledging a Document

Some tasks require you to upload a document or acknowledge that you have read one.

  • Click on the document task.

  • View the document PDFs and Word files can be previewed directly in the browser.

  • Click Upload or Acknowledge as instructed.

Once done, the task is marked complete automatically.

Email Notifications

Employees receive automated emails at key points during onboarding:

When

What the email contains

Onboarding starts

Welcome message with a link to the portal

A task or form becomes available

Task name, description, and due date

A deadline is approaching

Reminder with the due date

A new item is added to their onboarding

Details of the new task or form

The exact timing and content of these emails is configured in the template's Emails section by your HR team.
