Custom Cases

This document provides a step-by-step guide on how to utilize the new Custom Cases feature in Hirex to streamline your candidate evaluation process.

Creating Custom Cases

HR Admins can now upload and manage custom cases to evaluate candidates effectively. Follow these steps to upload a custom case:

  1. Navigate to Cases Settings

    • Go to Settings > Recruitment Settings > Cases.

  2. Fill in Case Details

    • Title: Enter a clear and descriptive title for the case.

    • Share as a file or link?: Choose how you want to share the case with candidates:

      • Upload a File: Share a PDF, DOCX, or ZIP file.

      • Provide a Link: Share a URL that directs candidates to the resource.

  3. Compose the Email

    • Mail Subject: Write the subject line for the email the candidate will receive.

    • Email Body: Draft the body of the email. Use the text editor options to format your message.

  4. Optional: Add a Scorecard

    • Attach a Scorecard for your team to evaluate the candidate’s submission. This is optional but recommended for structured evaluations.

  5. Save Your Case

    • Click Save to upload and store the custom case for future use.


Assigning Cases to Candidates

Once a custom case has been uploaded, it can be assigned to candidates as part of the evaluation process. Follow these steps:

  1. Select Candidates

    • Navigate to the Job Posting and select the candidate(s) to whom you want to send the case.

  2. Send the Case

    • Click Send Test > Case.

  3. Choose or Create a Case

    • Select an existing case from your organization’s library.

    • OR create a new case by clicking the corresponding option.

  4. Set Timezone and Deadlines

    • Timezone: Choose the appropriate timezone for the candidate.

    • Deadline: Set the deadline by which the candidate must submit the case.

  5. Optional: Set Mailing Preferences

    • Initial Mailing Date: Specify the date and time to send the case email. If left blank, the email will be sent immediately.

    • Reminder Mailing Days: Schedule reminders to ensure candidates submit their work on time.

  6. Send the Case

    • Review the details and click Send to deliver the case to the selected candidate(s).

Receiving and Submitting the Case

  1. The candidate will receive an email with a link to the case study page.

  2. Upon clicking the link, the candidate will be directed to a page with the following details:

    Case Study

    • The file provided for the case can be downloaded from here.

    • Deadline information specified by the sender.

    Submitting the study

    • Candidate can either upload a file( PDF, DOCX, or ZIP) or

    • Provide a link that contains the resource.

  3. After uploading the study, the candidate can click Submit to complete the process.


Tips for Using the Custom Cases Feature

  • Ensure all files or links provided in the case are accessible to candidates.

  • Use the scorecard to standardize evaluations across candidates.

  • Set clear and realistic deadlines to allow candidates adequate time for completion.

  • Utilize reminder emails to keep candidates on track.
