The AI Notetaker joins your video interviews, records and transcribes the conversation, then creates a structured report on the candidate’s profile.
The report includes a short summary, notes organized by topic, and an overview of which job criteria were discussed.
This lets you focus on the conversation instead of taking notes and gives the hiring team a shared, accurate record of the interview.
Add the Notetaker to an interview
You can choose whether the Notetaker joins each interview.
Schedule a video interview as usual and include a Zoom, Google Meet, or Microsoft Teams link.
In the scheduling panel, turn on Add AI notetaker to this interview.
Save the interview.
The Notetaker is added automatically and aims to join approximately one minute before the scheduled start time. The interview will also appear in the candidate’s Interviews tab.
If your administrator has enabled the Notetaker by default, the toggle will already be on when you schedule an interview. You can still turn it off for individual interviews.
For the Notetaker to join, the interview must have:
A supported video conferencing link

During the interview
The Notetaker appears in the call as a participant named Hirex Meeting Notetaker.
Depending on the meeting platform and its settings, the Notetaker may first enter the waiting room or lobby. Admit it as you would any other guest so it can join and begin recording.
The Notetaker is visible to everyone in the call. Make sure candidates are informed that the interview will be recorded and that your process complies with applicable recording and consent requirements.
View the interview report
After the interview, you can find the report in the Interviews tab on the candidate’s profile.
The report includes the following sections.
Summary
A short summary of what the interview covered and, where relevant, what was not discussed. If the interview ended early or did not contain enough information, the summary will indicate this.
Criteria coverage
For each criterion defined for the job, the report shows whether it was:
🟢 Discussed: The criterion was clearly covered.
🟡 Partially discussed: The criterion was mentioned but not explored in detail.
⚪ Not discussed: The criterion did not come up during the interview.
This helps you quickly identify any important topics that were missed or require follow-up.
Interview notes
The conversation is organized into sections such as background and experience, technical skills, and candidate questions.
Each section contains bullet-point notes based only on what was said during the interview. The Notetaker does not fill in missing information or make assumptions.
Explain this from the conversation
A magnifier icon appears next to individual points in the report. Select it to see a more detailed explanation based on the surrounding conversation, including when the topic came up, what was said, and why it was included in the report.
This provides additional context without requiring you to review the entire recording.
Report feedback
At the bottom of each report, you can indicate whether the summary was helpful by selecting 👍 or 👎. This feedback helps us improve future reports.
What the Notetaker does not do
The AI Notetaker documents the interview but does not make hiring decisions.
It does not:
Score or rate candidates
Rank candidates
Recommend whether to hire or reject a candidate
Candidate evaluations and hiring decisions remain with your team and should be recorded using your existing scorecards and evaluation process.
Configure the Notetaker for your organization
Administrators can manage the organization’s Notetaker settings under Settings → Interview, on the AI Notetaker card.
Add the AI Notetaker to interviews by default
When enabled, the Notetaker toggle is turned on automatically for every new interview. Recruiters can still turn it off for individual interviews.
Enable this setting if your organization wants to use AI-generated notes as the default for video interviews.
Notetaker language
Select the language used to transcribe interviews. The available options are:

Generate AI interview notes
When enabled, completed interviews are converted into the structured report described above.
When disabled, interviews are still recorded and transcribed, but a summarized interview report is not generated.
Good to know
The Notetaker supports Zoom, Google Meet, and Microsoft Teams.
It cannot be used for phone or in-person interviews.
Very short interviews may not contain enough conversation to generate a report.
The Notetaker aims to join approximately one minute before the interview. If an interview is scheduled only seconds before its start time, it may not be able to join in time.
Report access
Interview reports may contain sensitive information. For this reason, each report is visible only to:
The interview organizer
The interviewers invited to that interview
This restriction also applies to administrators. An administrator cannot access a report unless they were the organizer or an invited interviewer.
If the scheduled interview is deleted, its report is also deleted.

The feature may not yet be enabled for your organization. You may also need administrator permissions to access its settings.

It may have remained in the meeting lobby or waiting room. Make sure the Hirex Meeting Notetaker participant is admitted to the call.

Reports are available only to the interview organizer and invited interviewers. If you were not included in the interview, you will not be able to access its report.
