How can I add a new user to my organization?

• Go to Settings > Team Members, click the “Add User” button, enter the user’s name and email address, and select their role. The user will receive a welcome email where they can set their password.

What roles are available in Hirex?

• Hirex offers seven roles: HR Admin, HR Team Member, Offer Admin, Hiring Manager, Hiring Team Member, Reviewer and Assistant. Each role has different access permissions.

Can I change a user’s role after adding them?

• Go to Settings > Team Members, click on the user’s name, and update their role from their profile page.

A user did not receive the welcome email — what should I do?

• Go to Settings > Users, find the user, and click the “Password Reset” button. This will send a new email containing a password setup link.

How can I remove a user from my organization?

• On the Settings > Users page, click the delete icon next to the user’s name. Their historical data (applications, comments) will be preserved, but their access will be removed.

How can I reset my own password?

• On the Hirex login page, click the “Forgot Password” link and enter your email address. You will receive an email with a link to set a new password.


How can I create a new job posting?

• From the top navigation menu, click Jobs, then click the “Add Job” button. Fill in the job details across the tabs: Job Description, Screening Questions, and Stages.

Can I duplicate an existing job posting?

• On the Jobs page, find the posting you want to copy and click the Duplicate option. A new posting will be created with the same settings and process stages.

How can I close or archive a job posting?

• Open the job posting and change its status to Archived. Archived postings will no longer appear on your career page and will stop receiving new applications.

What is the difference between Draft, Open, Unlisted, and Archived?

Draft — Not visible on the career page and does not receive applications
Draft — Not visible on the career page and does not receive applications
Open — Visible on the career page and receives applications
Privately — Not visible on the career page but can receive applications via a direct link
Anonymous — Allows you to collect applications while hiding the company name and identity. It does not appear on the career page and accepts applications via a direct link
Archived — Not visible on the career page and does not receive applications

Can a job posting be automatically closed on a specific date?

• While editing the job posting, enable automatic archiving and set the date and time when the posting should close.


How can I manually add candidates?

• Upload candidates directly to the Candidate Pool by importing a CSV or XLSX file. The import option is available on the Candidate Pool page.

Can I move a candidate to another job posting?

• Select the candidate’s application and use the Move option to transfer them to another job process.

What is the difference between rejecting and archiving a candidate?

Rejecting: Indicates that the candidate is not suitable for the position. You can add a rejection reason; the candidate will appear in the Rejected view.
Reconsidering: Allows you to move a rejected candidate back into an active stage.
Individual candidate archiving is not a separate feature — archiving works at the job posting level.

Can I perform actions on multiple candidates at once?

• Select multiple candidates in the process and use bulk actions, such as:
• Move to another stage
• Reject with a specific reason
• Send email
• Send assessment
• Send video interview
• Export data
• Transfer to HRIS

How can I send an assessment to a candidate?

• Select the candidate’s application, click the “Send Assessment” button, and choose the test you want to send. The candidate will receive an email containing the assessment link.

Why was an assessment email not sent when the candidate moved to a new stage?

• If the candidate has already completed the assessment, Hirex automatically skips sending duplicate emails. You can manually resend it using the “Send Assessment” button if needed.

Can I resend an assessment?

• Select the application and use the “Send Assessment” action to resend the test independently of automation rules.


Where can candidates view my job postings?

• Your postings are listed on your customized Hirex Career Page, branded with your company identity. The URL typically follows the format yourcompany.gethirex.com.

How can I publish a job posting on the career page?

• Set the job posting status to Open. The posting will automatically appear on your career page.

How can I customize my career page?

• Go to Settings > Organization > Job Site, where you can upload your logo and banner image and add a company description.

Can I remove a job posting from the career page without closing it?

• Set the job status to Unlisted. The posting will remain active and continue to receive applications via direct link but will not be visible on your career page.


How can I connect my calendar to schedule interviews?

• Go to Settings > Integrations and connect your Google or Outlook calendar.

How can I publish my job posting directly on LinkedIn?

• Open the job posting, go to the Reach tab, and enable the LinkedIn integration.


What can be automated in Hirex?

• You can set up automations triggered when a candidate moves to a specific stage, such as:
• Send an assessment
• Send an email
• Send a video interview invitation
• Send a survey

How can I set up an automation?

• Open a job posting, go to the Stages tab, select a stage, and configure the automation rules for that stage.


How can I customize emails sent to candidates?

• Go to Settings > Email Templates to edit the email templates used in candidate communications.

How can I control which notifications I receive?

• Go to Settings > Notification Preferences and select which events should trigger email notifications.


An email I sent to a candidate was not delivered what should I check?

• Verify that the candidate’s email address is correct on their profile page.
• Ensure the email has not landed in the spam or junk folder.
• If you sent a bulk email, check your organization’s hourly sending limit.

A user cannot access a feature they should have access to why?

• Confirm that the user’s role includes the required permissions. Some features are role-specific.
• Check whether the feature is included in your subscription plan.
• If the issue persists, contact the Hirex support team.

I cannot find a candidate I added where might they be?

• If the candidate is not linked to a specific job, they may be in the Candidate Pool or in the Rejected view of a job posting. Use the search function to locate them.
